The problem with ordinary keys

Start with a key record
Write down every key, who holds it and which doors it opens. Ask people to sign when they receive or return a key. It is simple, but it already makes things much clearer.
Use a master key system
A master key system lets different people open different doors. A manager may have one key for everything, while staff only carry the key for their own area. It means fewer keys on every ring and less confusion.
Consider access control
With card, keypad or fingerprint access, you decide who can enter and when. If someone leaves, you cancel their access in seconds rather than changing every lock.
